Privacy policy

Who we are

IndexPedia is a Google and AI search visibility platform run from Raleigh, North Carolina. This policy explains what information we collect, why, and what you can ask us to do with it. Questions go through the contact page.

Information you give us

When you use IndexPedia, you may give us:

  • Your name, email address and a password, which is stored only as a secure hash
  • The sites and sitemaps you add, and settings for them
  • Business details you enter into the AI Visibility Check or an AI Profile, such as name, city, services, prices, hours and answers to questions
  • Server log files you upload to the Log Analyzer
  • A Google service account key, if you connect Search Console
  • Messages you send through the contact page

Information we collect when the service runs

To provide the service, IndexPedia also records:

  • Public pages of your site that we check, and what we measure on them
  • When the tracking snippet is installed: visits from known crawlers to your site, with the crawler's name, its IP address, the page address, the time and the response code
  • Visits that arrive from AI tools, with the page address and the AI tool that sent them, but not the visitor's identity
  • Basic request logs on our own servers, such as IP addresses and pages requested, used for security and to fix problems

How we use information

We use information to run your checks and reports, submit your pages to IndexNow, publish AI Profiles you pay for, answer your messages, keep the service secure, and improve it. We do not sell your information and do not use it for advertising.

Services that help us

Some work is done with trusted providers, who receive only what they need for that job:

  • AI model providers, which receive the questions for AI Visibility Checks and AI Monitoring, including the business details you entered
  • Stripe, which processes payments; we never see or store full card numbers
  • IndexNow and participating search engines, which receive the page addresses we submit
  • Google, when you connect Search Console, to read your sites' index status

Uploaded server logs

A log file you upload is read once to build your report and then deleted. If you choose to share, only anonymous totals per crawler and day are added to the public AI Crawler Radar, with no IP addresses, page addresses or site names.

Public information

Published AI Profiles are public by design, and are sent to search engines. The AI Crawler Radar and our own live results page show only anonymous totals or our own sites.

Cookies

We use one session cookie to keep you signed in and protect forms. We do not use advertising or tracking cookies.

How long we keep information

Account and site data are kept while your account is active. Reports from free scans and checks without an account are kept for a limited time so their links keep working. Uploaded log files are deleted right after processing.

Your choices

You can delete a site from its settings at any time. To see, correct or delete your account information, or to ask us to stop crawling a site, send a request through the contact page and we will act on it promptly.

Children

IndexPedia is a service for businesses and is not directed at children under 13.

Changes to this policy

If we change this policy, we will update the date at the top of this page. Significant changes will be announced to account holders by email.
